WhatsApp Ordering System for Supermarkets in Kenya

Most supermarket customers already know what they want. They have a list in their head, or on paper, or in a message to a neighbour. A WhatsApp ordering system lets them send that list to your shop the way they would send it to anyone, and get back exactly what they need to pay.

What is a WhatsApp ordering system for a supermarket?

It is software that sits behind your shop's WhatsApp number. When a customer writes "2 Blue Band 500g, 1 bread, 3 kilos sugar, Royco", the system matches each line to a product in your catalog, adds the prices and sends back a basket with a total and a checkout button. A person on your team can step into the same chat at any moment.

That is the difference from a plain WhatsApp Business app. The app shows you messages. An ordering system turns the messages into orders.

Why does a long product list break most WhatsApp setups?

A supermarket can stock tens of thousands of products. Searching all of them quickly, with spelling mistakes, brand shorthand and quantities written three different ways, is hard. Many tools only look at the first few hundred products and miss the rest, so customers get "not found" for items you really sell.

WowCommerce Omni Commerce searches the whole catalog, including supermarkets with more than 30,000 products, so the right item is found whichever way the customer writes it.

Can customers send a list in different ways?

Yes. In Omni Commerce a list can arrive as typed text, a photo of a handwritten list, or a voice note. Each becomes a priced basket in seconds. Your staff can also paste a customer's list into the order builder and send the basket for them.

  • Typed or pasted list
  • Photo of a paper list
  • Voice note

How does the customer pay?

The basket carries a Checkout button. The customer taps it, receives an M-Pesa prompt on their phone, approves it, and the order is marked paid in the same chat. See how this works in our guide to taking WhatsApp orders and getting paid with M-Pesa.

What should you check before you choose one?

  • Catalog size. Ask how many products it can search, and test it with your real product names.
  • Payment. It should take M-Pesa inside the chat, not send the customer to another site.
  • People in the loop. Your team must be able to see the chat and take over.
  • Reports. You want to see what each channel and branch sold, today.
  • Setup. Building the catalog is the slow part. Look for help loading it from shelf photos, Excel or a price list.

How do you start?

We set up the catalog and the chat for you, or you run it yourself. See the plan and what is included, or read how our WhatsApp commerce service works. When you are ready, book a demo and we will show it on your own products.
